How to Ship Equipment Safely in 8 Steps

A skid steer that is loaded on the wrong trailer can shift before it reaches the highway. A forklift with an unreported mast height can miss a low clearance. A generator shipped with loose accessories can arrive with avoidable damage. Knowing how to ship equipment safely starts well before pickup day. It comes down to accurate details, proper preparation, and matching the load to a carrier that has the right equipment for the job.

Whether you are moving construction machinery, agricultural equipment, shop equipment, industrial units, or a single piece of jobsite machinery, a little planning protects your equipment, your schedule, and your budget.

1. Identify Exactly What Is Being Shipped

Do not describe a load as simply “a tractor” or “a machine.” The carrier needs the make, model, running condition, and exact overall dimensions: length, width, height, and weight. Measure the equipment in its transport-ready position, including attachments, forks, buckets, booms, exhaust stacks, cabs, and anything else that extends beyond the main frame.

Weight matters because it affects trailer selection, securement requirements, route planning, and permits. Dimensions matter for the same reason. A machine that is over-width or over-height may require permits, escort vehicles, or a route that avoids certain bridges and roadways. Guessing can lead to a missed pickup, a truck that cannot legally haul the load, or added charges after dispatch.

If you have a spec sheet, serial number, or manufacturer documentation, have it ready. Clear photos from all four sides are also useful, especially for equipment with unusual attachments or loading challenges.

2. Choose a Trailer That Fits the Equipment

The cheapest shipping option is not always the safest option. The right trailer depends on the machine’s size, ground clearance, weight distribution, and whether it can drive or roll onto the trailer.

Open flatbeds work well for many standard pieces of equipment, but a step-deck provides additional height clearance for taller loads. An RGN, or removable gooseneck trailer, is often the better choice for heavy equipment that needs a low loading angle and a lower deck height. Hotshot trucks with ramps can be practical for smaller machines and local or time-sensitive moves. Equipment that cannot move under its own power may need a winch, forklift loading, crane service, or a trailer designed for non-running freight.

Ask about the loading method before booking. A carrier may have ramps, but that does not mean the ramps are appropriate for every machine. Low-clearance equipment, heavy tracked machines, and loads with long wheelbases need a safe approach angle. The goal is not just to get it onto the trailer. It is to load it without damaging the machine or creating an unstable position for transport.

3. Prepare the Equipment Before Pickup

Equipment should be clean enough for a condition inspection. Dirt and mud can hide dents, scratches, hydraulic leaks, and pre-existing damage. A quick wash is helpful, particularly when the equipment is being transported over a long distance or through ports.

Remove loose tools, detachable accessories, personal items, and unsecured materials from cabs, compartments, and storage boxes. If an attachment must travel with the machine, tell the transport coordinator in advance. Buckets, forks, blades, mower decks, and other attachments can change the load dimensions and securement plan.

Check for fluid leaks and notify the carrier if there are any concerns. Most equipment can ship with normal operating fluids, but leaks need to be addressed before loading. For running equipment, make sure the battery is charged, tires or tracks are in usable condition, and there is enough fuel to load and unload. Keeping the fuel level low is generally practical because it reduces weight, but the machine still needs enough fuel to operate when needed.

For non-running equipment, clearly explain what is not working. A machine that will not start, steer, brake, or roll is a different type of move than a functioning unit. Accurate information allows the carrier to bring the correct winch, loading tools, and manpower.

4. Document Condition and Ownership Details

Take dated photos and video before the carrier arrives. Capture all sides of the machine, the cab or operator area, attachments, tires or tracks, and close-ups of existing wear or damage. This creates a clear record of condition at pickup.

At loading, review the bill of lading or condition report with the driver. Make sure existing damage is noted before the equipment leaves. When it arrives, inspect it before signing the final delivery paperwork whenever possible. If you see new damage, take photos immediately and note the concern on the paperwork.

For commercial equipment, keep purchase documents, serial numbers, and any required ownership records organized. Interstate moves usually do not require you to hand over original title documents for equipment transport, but ports, international destinations, and certain specialized shipments may require additional paperwork. Confirm requirements early rather than discovering a document issue after the load reaches a terminal.

5. Use Proper Securement, Not Assumptions

Federal cargo securement rules are a major reason experienced equipment carriers matter. Heavy machinery needs more than a few generic straps. The carrier should use properly rated chains, binders, straps, tie-down points, and wheel or track securement methods suited to the specific load.

The equipment must be positioned to distribute weight correctly across the trailer axles. Attachments should be lowered, pinned, removed, or secured as needed. Articulating sections, booms, and moving components should be locked or restrained according to the manufacturer’s transport instructions.

Do not ask a driver to secure equipment in a way that conflicts with safe hauling practices just to save time or reduce the trailer footprint. An attachment may need to be removed, a bucket may need to face a certain direction, or the machine may need a different trailer altogether. Safe transport sometimes requires a different plan than the fastest-looking plan.

6. Confirm Insurance and Carrier Qualifications

Ask what cargo coverage applies to your shipment and what exclusions may affect your equipment. Coverage levels can vary based on the carrier, the equipment value, the route, and the transport type. If you are shipping high-value machinery, specialty equipment, or a load with custom accessories, confirm whether additional protection is appropriate.

It is also smart to verify that the carrier is equipped for the shipment being booked. Experience with cars does not automatically translate to experience with excavators, forklifts, or oversized machinery. The carrier should understand load distribution, securement, trailer limitations, and any permits required for the route.

7. Plan Pickup and Delivery Access

A full-size truck and trailer need room to turn, load, and park safely. Before pickup, consider the width of gates, driveway slopes, overhead branches, power lines, soft ground, and nearby traffic. The same planning applies at delivery.

If the location is tight, it may be safer to meet the truck at a nearby commercial lot, equipment yard, or wide access road. This is especially common for residential deliveries, rural properties, active jobsites, and urban areas with limited space. Arrange the meeting point in advance so the driver is not forced to improvise with a heavy load.

Have someone available who can operate the equipment if it is being driven on or off the trailer. If no operator is available, coordinate that requirement before dispatch. Delivery delays often happen because the truck arrives but there is no way to unload safely.

8. Communicate Changes Immediately

A pickup date, delivery location, attachment change, or equipment condition change can affect the entire shipment. If the machine stops running after the order is placed, if an attachment is added, or if the pickup location becomes inaccessible, notify the transport coordinator right away.

Clear communication is especially valuable for long-distance shipments, multi-unit moves, port deliveries, and oversized loads. It gives the carrier time to adjust equipment, permits, or scheduling before the truck is already en route. Waiting until pickup day usually limits options and can increase costs.

Safe equipment shipping is not complicated when the details are handled in the right order. Measure carefully, prepare the machine, choose a suitable trailer, and make sure the driver has a safe place to load and unload. That preparation gives your equipment the best chance of arriving ready to work, not ready for repairs.
